Tezeusz in Polcom Cloud

Branch:E-commerce
Key service:Cloud infrastructure (IaaS)

Tezeusz is the leader of the antiquarian market in Poland, with its headquarters in Krakow and a network of 16 purchasing branches located in the largest cities in the country. The company has undergone a significant transformation, evolving from a traditional antique shop to a modern, multi-format e-commerce platform powered by artificial intelligence. At Tezeusz, we are proud to offer our customers an extensive selection of books, encompassing both traditional paperbacks and hardbacks, as well as e-books and audiobooks. Our commitment to providing a comprehensive range of reading materials has enabled us to serve over half a million satisfied customers. The company’s collection encompasses over 1.5 million titles, positioning it as one of the most extensive entities of its kind in Poland. A team of over 190 employees is responsible for the efficient fulfilment of orders and the dynamic development of the company. The team members speak a total of seven languages, which allows for effective management of a complex repertoire and the development of international contacts and, above all, book titles. The company operates on the basis of a meritocracy, focusing on competence, commitment and mutual trust. The foundation for dynamic growth and an ambitious vision of the future, which goes far beyond the traditional framework of the book market, is formed by people and shared values.

Challenge

As a rapidly growing e-commerce organisation, Tezeusz operates in an industry that has grown significantly in recent years and is now one of the most dynamically changing branches of the Polish economy. According to data from the Warsaw Enterprise Institute, the value of the online commerce market in Poland exceeded PLN 150 billion in 2024, and the number of active online shoppers is constantly growing – in 2025 alone, there were approximately 3 million new users. This presents significant opportunities for Tezeusz, but also poses substantial technological and business challenges that require contemporary solutions.

Concurrently, consumer expectations are increasing at a rate commensurate with the overall growth of the market. Customers accustomed to the offerings of global giants demand immediate delivery, full integration of sales channels, and smooth, intuitive service. The omnichannel model, which is growing in popularity, necessitates consistency between the online shop, the ordering system, the warehouse and the returns service. For companies operating on outdated IT systems, this can result in barriers to implementing new functionalities and significant delays in responding to market needs.

Furthermore, the logistics sector is another area of pressure for e-commerce. Statistics on the Supply Chain in the E-commerce Industry Market Data Report 2025 shows that 85% of customers consider delivery options and speed to be a key criterion in their purchasing decisions. To meet these expectations, an organisation needs advanced and flexible technological solutions to support warehouse processes, shipment tracking and integration with external logistics operators. For Tezeusz, maintaining all of this on local servers has become both costly and inefficient. In addition to the above, there is an increasing regulatory burden associated with data processing in the EU. It is imperative that the issue of security is not overlooked at this juncture. According to data from Numbers & Intuition, the number of phishing attacks increased by almost 50 per cent in 2024, and over 40 per cent of customers abandon their purchases in an online store if they do not see basic security measures in place.

For a platform that processes personal data, transaction history and payment information, ensuring the protection of these resources is of the utmost importance. Traditional infrastructure, lacking advanced monitoring and automatic threat response systems, is unable to provide the expected level of security and continuity of operation. All these factors contribute to a market landscape in which the further development of the company is seriously threatened without investment in a flexible, scalable and secure IT environment. Therefore, Tezeusz was tasked with identifying a suitable technology partner who could deliver a comprehensive solution to address the specific challenges faced by the e-commerce sector within the organisation’s operational scope.

Solution

In order to meet the challenges associated with IT infrastructure development, data security and the need to maintain high efficiency of warehouse operations and the e-commerce platform, Tezeusz decided to implement IaaS solutions within Polcom Cloud.

In the first phase of the project, the WMS production environment was migrated to Polcom’s cloud infrastructure. The migration process was planned meticulously to ensure minimal disruption to the warehouse’s day-to-day operations, and all changes were executed in a methodical manner, ensuring the integrity of all data. The Tezeusz environment was built based on KVM virtualisation technology within the OpenStack platform, ensuring flexibility and full control over the configuration of virtual machines. The resource pool provides 1 TB of disk space, 256 GB of RAM and 90 vCores, enabling the IT team to create and scale environments independently according to current operational needs.

It is important to note that this structure is not static – as the data shows, the number of virtual machines created and used by Tezeusz varies from month to month, showing a steady upward trend. Moving the system to the cloud allows for flexible scaling of resources depending on the load, which is crucial during periods of increased sales, especially in the e-commerce industry. A key element of the implementation was the launch of a dedicated panel for managing resources in the cloud. This allows Tezeusz’s IT team to independently configure and scale the environment, respond to sudden needs and optimise costs. Consequently, the company has gained full control over its infrastructure without having to invest in expensive on-premise solutions.

In addition, to ensure uninterrupted access to key systems and minimal communication delays, a dedicated fibre optic link was implemented, connecting the new warehouse in Skawina directly to IT resources at the Polcom Data Centre. This ensured instant data synchronisation between warehouse processes and sales systems and enabled immediate response to changes. The close location of the Polcom data centre and Tezeusz has enabled the organisation to achieve high availability and stability of services, in addition to full compliance with GDPR requirements and European data protection regulations.

The geographical proximity of the provider translates into low data transmission delays and increased infrastructure security, as well as simplifying communication and technical support processes. This solution has become the foundation for further expansion of the organisation’s IT environment, including the planned development of an e-commerce platform that requires uninterrupted availability, high performance and easy scalability in response to growing customer needs.

Effects

Customer safety and trust

Migration to the Polcom cloud environment has enabled Tezeusz to enhance the security level of both customer data and the entire IT infrastructure. The Polcom cloud solution ensures that the platform is compliant with international data protection standards, a key consideration in e-commerce where personal data and payment information is processed. In addition, 24/7 monitoring, redundancy systems and advanced incident response mechanisms ensure continuity of operation and eliminate the risk of platform downtime. Consequently, Tezeusz is able to not only protect customer data, but also foster customer loyalty through a transparent approach to cybersecurity.

Cost optimization

Moving its infrastructure to the cloud has allowed Tezeusz to significantly reduce the costs associated with maintaining and upgrading local servers. The company no longer needs to invest in expensive local equipment, updates or the maintenance of specialised administrative teams – all of these elements have been transferred to the cloud service provider. The billing model, which is based on actual resource consumption, means that Tezeusz only pays for what it uses. This allows it to better manage its budget and allocate savings to business development and sales activities. Consequently, the platform is able to respond more quickly to changing market trends, innovate and compete more effectively with global players present in Poland, offering customers a comparable level of service and security.

Flexibility and scalability

One of the key advantages of Polcom’s cloud for Tezeusz is the capacity to flexibly allocate resources in accordance with the evolving demands of the business. During periods of increased traffic, such as seasonal campaigns, promotional activities or sales, the platform can immediately increase its computing power to handle thousands of additional users, and then just as quickly reduce resources once the period of increased activity is over. This ensures the elimination of system overload, guaranteeing uninterrupted, fast operation of the shop even under the heaviest load. In practice, this means no lost shopping baskets and greater satisfaction for customers who expect a smooth shopping experience regardless of the number of users active at any one time. Furthermore, the cloud facilitates the expeditious implementation of new functionalities and services, ranging from integration with payment systems to the introduction of AI-based tools such as personalised offers and product recommendations.
